Do I need a professional DJ, or can I use a playlist?

Planning & Event Logistics

How far in advance should I book a DJ?

For weddings on Vancouver Island, we recommend booking 9–18 months in advance, especially for peak season dates (May–September). Corporate and private events may have more flexibility, but popular weekends fill quickly.

How long does setup take?

Standard DJ setups typically require 60–90 minutes prior to guest arrival. Larger or more complex setups may require additional time. We coordinate directly with the venue to ensure smooth access and minimal disruption.

Do you handle setup and teardown, and is there an extra charge?

Yes. Encore Audio handles all setup, sound testing, and teardown for your event.

There are no additional fees for standard setup and teardown, and this time does not count toward your booked event hours.

We arrive in advance to ensure everything is professionally installed, tested, and ready before guests arrive. After your event, we discreetly remove all equipment so you can focus on enjoying your celebration.

How long can Encore Audio play, and what happens if we need more time?

Your DJ services are scheduled according to the hours included in your selected package. If the celebration is still going strong and the venue permits, we can extend the event.

Extra time may be arranged in advance or requested on the day, subject to availability. Extension rates apply and vary depending on when the request is made.

How much space does your DJ setup require?

Our standard DJ setup requires a small, designated area near a reliable power source. The exact space needed depends on your venue, guest count, and any added services such as ceremony audio, lighting, or photo booth. We confirm all setup details during the planning process to ensure everything fits comfortably within your space.

Will you coordinate with my wedding planner or venue coordinator?

Absolutely. We work directly with planners, coordinators, and venue teams to align timelines, manage setup logistics, and handle technical details so your event runs seamlessly from start to finish.

Can you work within venue sound restrictions or volume limits?

Some venues operate with sound limiters, decibel caps, or music curfews, and we can certainly work within those requirements.

It’s important to understand that sound restrictors are designed to automatically reduce or cut power to the system if volume exceeds a set limit. This means some venues may not allow a true nightclub or “club-level” bass experience.

During planning, we’ll review your venue’s policies with you so expectations are clear. If your vision includes a high-energy dance floor, we can discuss setup strategies that maximize impact while respecting venue rules.

Booking, Payment & Policies

How do we secure our date with Encore Audio?

Begin by submitting your event details through our online inquiry system or scheduling a consultation. Once your package is confirmed, your event date is officially reserved upon completion of the service agreement and payment of the required non-refundable retainer.

What is your booking and payment policy?

A 25% non-refundable retainer is required to reserve your event date. The remaining balance is due two weeks prior to the event, unless otherwise specified in your contract.

Do you provide a written contract and detailed invoice?

Yes. Every booking includes a formal service agreement and an itemized invoice for full transparency and peace of mind.

What payment methods do you accept?

We accept most major credit cards, e-transfers, and business cheques.

Are you licensed and insured?

Yes. Encore Audio operates as a fully licensed and insured professional DJ service. We carry liability coverage to protect both your event and our team, and documentation can be provided to your venue if required.

What happens if our DJ gets sick or there’s an emergency on the day of our event?

In the rare event of illness or an unexpected emergency, Encore Audio has a network of trusted professional DJs across Vancouver Island who can step in if needed.

We take reliability seriously and have contingency plans in place to ensure your wedding or event continues smoothly. Backup support, event documentation, and preparation details are shared in advance so your timeline, music selections, and key moments are handled as planned.

What happens if we need to cancel or reschedule our event?

Our cancellation and rescheduling terms are detailed in your signed agreement. Retainers are non-refundable, as they reserve your event date. That said, if unexpected situations arise, we will communicate promptly and do our best to explore reasonable options.

Do you charge travel fees?

Travel is included for most events within approximately 150 km of Nanaimo. Events in remote locations such as Tofino, Ucluelet, Port Hardy, the Gulf Islands, and the Sunshine Coast may require additional travel, ferry, or accommodation charges. Any applicable fees will always be reviewed and approved before your booking is finalized.

Do you provide microphones for speeches and toasts?

Yes. Professional wireless or wired microphones are included in most packages, along with stands and appropriate sound monitoring to ensure speeches and toasts are clear and easy to hear throughout the venue.

Do you provide lighting for weddings and events?
